Pickup & Transport

Schedule a pickup with us. We provide secure transportation to our R2v3 certified facility with 24/7 surveillance.

Release of Liability

Upon arrival at our warehouse, you receive immediate Release of Liability documentation. Your assets are now in our secure chain of custody.

Asset Itemization

All data-carrying devices are scanned into an itemized lot report with serial numbers, asset tags, and total weight received.

Data Destruction & Certification

Choose your erasure method. All drives are processed using NIST 800-88 protocols. You receive a Certificate of Destruction for compliance.

Frequently Asked Questions

We complete all recycling processes within 5-10 business days, depending on the time of year and volume. This includes pickup, itemization, data destruction, and delivery of all certificates and reports.

We do not offer same-day pickups. We request that all pickup requests are given a multi-day heads-up to ensure proper scheduling and secure transportation of your IT assets.

Here's the complete process:
  • Release of Liability: Automatically sent to you upon arrival at our facility
  • Weighing & Triage: All material is weighed and sorted between data-carrying and non-data-carrying items
  • Itemization: Data-carrying devices are scanned into a lot report with serial numbers and asset tags
  • Data Erasure: All hard drives undergo NIST 800-88 compliant erasure in our secure, locked rooms
  • Final Documentation: You receive the lot report and Certificate of Destruction

Clients cannot access our locked data erasure rooms due to other client information being present. However, we offer detailed erasure reports at $3.00 per drive that provide complete documentation of the destruction process for each individual drive.

We only perform pickups for business entities. However, residential customers are welcome to drop off material any time during business hours (Monday-Friday, 8:30 AM - 5:30 PM EST) at our Columbus facility.

We offer three levels of data erasure, all using NIST 800-88 protocols:
  • Default Secure Overwrite (FREE): NIST 800-88 compliant secure overwrite
  • DoD Erasure + Report ($3.00/drive): NIST 800-88 protocols with individual drive-level reporting
  • Physical Destruction ($5.00/drive): Complete physical destruction of the drive
Note: If any drive fails health tests or logical erasure, it is automatically physically destroyed at no extra cost.

Columbus Micro Systems is R2v3 certified and carries a $5 million cyber security liability insurance policy. We follow all NIST 800-88 data sanitization protocols and provide complete chain-of-custody documentation.

We accept: All IT equipment including servers, desktops, laptops, phones, tablets, network equipment, printers, copiers, and most office electronics — even broken or non-functional equipment.

We do NOT accept: Household appliances, items with refrigerant, medical waste, or hazardous materials.

Recycling Fees: Most items are FREE to recycle. Items with fees include:
  • Flat Screen Television: $15/unit
  • CRT Television (up to 20"): $25/unit
  • CRT Television (21-35"): $35/unit
  • CRT Computer Monitor: $15/unit
  • Alkaline & NiCad Batteries: $2.50/lb

Pickup Fees:
  • Van: $75
  • 26' Box Truck: $300
  • FREE pickup for non-profits, schools, and government entities
  • Out-of-state pickups: Client is billed the LTL/FTL shipping charge
ITAD Credits: We offer businesses internal ITAD credits for certain working desktops and laptops. These credits can offset pickup fees or other services.

You receive comprehensive documentation including:
  • Release of Liability: Immediate upon arrival at our facility
  • Data-Carrying Lot Report: Itemized list with serial numbers, asset tags, and weights
  • Certificate of Destruction: Compliance certificate for all destroyed data
  • Erasure Reports (optional): Individual drive-level reports available with DoD erasure option
All documentation is typically delivered within 5-10 business days.

Yes! Our R2v3 certification ensures compliance with major regulatory frameworks including HIPAA, GLBA, SOX, and others. We provide all necessary documentation including Certificates of Destruction and chain-of-custody records to satisfy audit requirements.

Preparation is simple:
  • Have all items in one easy-access area for pickup
  • Items do NOT need to be sorted
  • If possible, palletize with wrapping (not required)
  • We can provide boxes/pallets/gaylords if needed

We service the entire United States. While we're based in Columbus, Ohio, we provide pickup services nationwide through our logistics network.
